Company background

VG Soft Co was founded in 2022 in Lenexa, Kansas, by David Isaac, an ABA practice owner frustrated by the software available to his clinic, and Dustin Schwartz, a technology leader with years of experience running software teams. Members of the team have started and scaled ABA practices themselves, including multi-location operations, and the product is built around the workflows they ran day to day. The name stands for "Very Good Software Company."

VGPM: ABA practice management software

VGPM is all-in-one ABA practice management software built for streamlined operations. Billing-optimized, automation-first, and simple enough for teams to learn in minutes. Flat $50/staff/month with optional operational services.

The design goal is to reduce administrative work for owners, BCBAs, RBTs, and billing staff, so more of the day goes to clients. Scheduling, documentation, data collection, authorizations, and billing share one record, so information entered once flows through to the claim without re-entry.

Billing and claims

VGPM's billing engine runs six steps end to end:

1. Generate the claim from the signed session note
2. Submit it to the payer
3. Post the ERA when the payer responds
4. Invoice the patient for any remaining balance
5. Collect payment through the client portal
6. Reconcile the account

On clean claims, no one needs to touch the claim after the session note is signed. Billing staff spend their time on the smaller share of claims (typically 5 to 15%) that need human judgment, such as denials, payer-specific edits, and corrections. Claims are submitted through the Claim.MD clearinghouse, and invoice payments are processed through Stripe.

Session notes

• Custom forms per billing code, with 10 field types
• Per-field AI suggestions: the therapist accepts or rejects each suggested value individually, rather than receiving an auto-filled note
• AI Update: the therapist gives a direction such as "more clinical" or "shorter" and regenerates a single field
• Admin AI directions: administrators can attach guidance to individual fields in the form builder; it is hidden from the final PDF
• Pull Forward: copies the previous note when a session is substantially similar
• Data flows into the note: ABA data collected during the session populates the note automatically
• Submission lock: notes cannot be submitted until 15 minutes before the scheduled session end, which discourages premature filing

Scheduling and authorizations

The scheduler handles recurring sessions, flags conflicts, and manages supervision alongside direct sessions in one calendar.

Authorization tracking counts scheduled, billed, and newly added units against each authorization in real time. VGPM warns staff before a session is booked past an authorization's approved units and alerts the team 14 days before each authorization expires. It warns rather than blocks, so staff can proceed when appropriate.

Credentials, compliance, and reporting

• Credential tracking for staff licenses, certifications, and payer panel status, with expiration alerts so staff stay billable

ABA Revenue Cycle Management (RCM)

VG Soft Co's RCM (Revenue Cycle Management) provides ABA-specialized outsourced billing with full transparency: a "Glass Box" dashboard showing every claim in real-time, ABA-native billing expertise, and 95%+ collection rates. The billing team focuses on the claims that need a specialist: denials, appeals, past-due follow-up, and authorization issues.

VG Soft Co's Practice Accelerator is an MSO partnership for established ABA practices (2-100+ staff) that handles credentialing, billing, HR, compliance, and operations at 12.5% of collected revenue: nearly half the cost of franchise models with zero brand restrictions.

• Credentialing: organization and staff credentialing, CAQH maintenance, payer contracting support
• Billing: claim submission, denial management, patient statements, A/R reporting
• HR and compliance: employment documents, policies and procedures, HIPAA and OSHA training, payroll and benefits administration
• Operations: intake and onboarding workflows, authorization tracking

Any practice already seeing clients and billing payers can qualify. Practices that have not launched yet start with the Incubator and move to the Accelerator once operations are stable.
