§01 · Overview

About Jane App.

Jane App handles scheduling, charting, online booking, and payment processing for clinics that mix ABA with PT, OT, and speech. Its clean interface and quick setup make it attractive to startup practices, and an open API lets teams pull data into their own reports.

§02 · Approach

How Jane App works.

Jane App is an online practice management platform built for health and wellness practitioners across multiple disciplines. The software was created in 2011 by Ali (Alison Taylor), a clinic owner, and Trevor Johnston, a developer, to solve the scheduling and charting challenges of multi-disciplinary practices. Today it serves more than 200,000 practitioners across Canada, the United States, and internationally, with particular strength in supporting allied health clinics that combine services like physiotherapy, occupational therapy, speech therapy, ABA, counseling, and massage therapy.

The platform provides a comprehensive suite of tools including online booking, customizable electronic charting, insurance management, online intake forms, patient reminders, integrated payment processing, and HIPAA/PIPEDA/GDPR-compliant telehealth capabilities. Jane stores practice data in regional data centers across the USA, Canada, the United Kingdom, and Australia to ensure compliance with local privacy regulations. The company operates on a flexible month-to-month subscription model with pricing based on the number of practitioners in a clinic.

Based in North Vancouver, British Columbia, Jane Software Inc. employs 500+ staff and continues to expand its feature set and geographic reach. The company received a Bronze Stevie Award in May 2025 for Customer Service Department of the Year in the Computer Software (100+ Employees) category. Support is available by phone, email, or chat six days a week, with a focus on helping practices of all sizes—from startups to established multi-location clinics—streamline their operations and improve patient care.

Run away from Jane as a practice/business owner. I have been with them for 3.5years and trusted them with using their payment gateway and processing clients credit card. A client purchased products using a fraudulent credit card and despite providing jane with receipts of purchase, they still went ahead and falsely and fraudulently charged our clinic account. We now lost about $4000 because of jane. As a small business owner, this is a big loss. This is worth months of setback. We pay monthly payments so jane software and system can detect fraudulent transactions and prevent them from happening. They do zero work, wait for the charge to go through and charge the small business owner because its so easy to do so. Jane does not care with ZERO support. They are NOT your software and payment gateway to go to. Look for another software.

This review is from the admin staff point of view. I have been managing a clinic for over 10 years and we switched to Jane about 4 years back. This software needs some serious improvement in some areas. This review will be edited as they fix these major issues. 1) Jane is built from a therapist point of view to make things easier for therapist not for admin staff. Their selling point is to automate so many things and the therapist can save money on admin staff. But in reality, it does the opposite. My front desk staff don't get notified when someone books an appointment. You might think what is the big deal about it, but here's the issue. For example, if someone books a treatment visit instead of an initial visit, the front desk wouldn't be able to change it if they didn't know the booking. Therapist will get an email when someone books but they don't usually pay attention to the type of booking when they are busy. My staff is constantly checking day by day to catch if there is any mismatched bookings. It makes it even harder if you don't catch it on time and if there is not enough room to book them to the appropriate booking. Patients usually get upset if you don't change it sooner. They will be like I booked this 2 weeks back and why didn't you let me know earlier. This can be easily fixed by adding a notification bell icon for admin staff but for some reason Jane wouldn't do it although many people asked for this in their feature request forum. 2) Billing and payment: One of the most confusing tabs. Let's say one of your front desk staff made a mistake with payment and you caught this the next day. Editing this is a nightmare. First of all, you don't have the option to apply the payment with yesterday's date. You have to apply the payment and go back to the billing and edit the date which will leave a time stamp 12.01 AM make it look like the patient made this payment at midnight on their receipt. This is not an easy work around. 3) Jane subscription: My boss wants me to get a schedule vs booking report for each therapist by the end of the month every single month for him to adjust the subscription. We have about 9 therapists working and some of them go over 24 hours a week and some don’t. (24 is the cut off to decide half subscription vs full). You pay for this month's subscription based on your last month's usage. The best part is that you pay for a monthly subscription based on a weekly usage calculation. You have to do this manually from your monthly report divided by 4. I can't believe that we still have to manually calculate this for a company that automates everything. Bottom Line: Designed for clinics with less than 5 therapists, perfect for solo therapist to run with minimum admin expense. Not for clinics with multiple people involved in the front desk.

I was less than thrilled with this software and especially with the service when contacting the company about being overcharged. I cancelled my subscription and will not be referring this to anyone. As a single practitioner trying to organize myself I am not happy to be charged extra licenses. I have a one room private space and was repeatedly charged extra. I didn't notice until I saw the extra charges on my card but the policy is not to give a credit or refund.

As a new practitioner, Jane has been a major time saver! Where I used to spend so much time on admin work, I now have my evenings and weekends free. Jane is intuitive software that enables me to run a practice without the headache of hours of admin work. Love it!

Confession: I’m a nightmare client. I have this idea in my mind of the perfect clinic software and when it doesn’t quite meet the spec, I’m off in search of perfection again. Having already dumped two software solutions, I didn’t hold out for Jane. However, having been using it for just 6 months, I can say I’m smitten. I’m in the UK, and I love, love, love that there’s someone on the end of the phone if I need them. Jane feels like a very human company. The front end for clients is great. I love that I can match my branding with my website. The flexibility of the soap notes (charts) is brilliant. I also love the look of it, the calendar, the reports, the ease of use. If you’re looking for a clinic software that’s easy to use, easy on the eye and great with consultation notes, you won’t go far wrong with Jane.
