§01 · Overview

About ICANotes.

ICANotes generates fully formed clinical notes from point-and-click inputs, which cuts time spent on documentation. It is used by psychiatry, psychology, and counseling practices, and some ABA clinicians adopt it for supervision and parent consult notes.

§02 · Approach

How ICANotes works.

ICANotes is a behavioral health-focused electronic health record platform that streamlines clinical documentation for mental health and substance use providers. The software uses click-to-chart workflows to generate detailed, audit-ready narrative notes from point-and-click selections, eliminating the need for lengthy manual charting while maintaining clinical accuracy and regulatory compliance.

The platform serves psychiatry, psychology, counseling, and applied behavior analysis (ABA) practices. It combines clinical documentation tools with practice management capabilities, integrated billing, and HIPAA-compliant telehealth features. The system supports DSM-5 and ICD-10 coding standards and includes optional AI-assisted documentation generation from structured inputs.

Founded in 1998 and headquartered in Annapolis, Maryland, ICANotes has established itself as a specialized solution for behavioral health providers seeking to reduce administrative burden and improve documentation efficiency. The company operates as a privately held entity and recently received investment from Sheridan Capital Partners in January 2026, signaling continued growth and development of its platform capabilities.

I am extremely satisfied with the experience. Nabil was clear, patient, and very knowledgeable, making the process smooth and straightforward. His thorough explanations made navigating the platform much easier. I truly appreciate his support and look forward to our next sessions!

I completed the basic training of ICANotes with Nabil and it was great. Very informational and detailed. He answered all my questions and made sure that I had a good understanding of the basics. I will be taking more courses to have a better understanding of this new EHR.

Keeping it organzied for providers to decide: 1: integration between clearinghouse and Icanote: Does not post non-payments such as deducitble or denial to patients' account: huge problem 2. Customer service: TERRIBLE TERRIBLE TERRIBLE.... ALL THEY DO READ FROM A SCRIPT HOW SORRY THEY ARE AND A BUNCH OF BLA BLA THAT IT IS BEING ESCALATED but what they leave out is that "it is being escalated to nowhere". 3. system logs you out every few minutes and takes forever to upload. If you turn around to say something to the client and don't move your mouse, you are out of luck... or out of log haha 4. Too many clicks to do a simple task: for example, in most softwares, if I get a check for x amount and want to post it to the client's account, it automatically starts with the oldest date and applies; not here. so, if you get $ 100 check for someone with $10 copay, you need to go individually to each date, and click on at least 10 tabs to post $100. Becomes too old ... too fast, trust me 5. Systems gets down without warraning: I have not had access to my calandar for 5 days and had to restore to pen and paper to keep track..... 6. The last reason not to go with them is that when you log into the system, they are not web-based, you actually log into their system.. so if they have an issue, all users will do. 7. Avoid at all cost; there are better options. I am upset that after four years, I have to leave, but I can't work like this and anyone who has switched from one program to another knows how daunting it is, but I have no choice. HOPE THIS REVIEW WOULD SAVE ONE CLINICAN LIKE MYSELF TO AVOID THIS PROGRAM AND NOT GET TRAPPED LIKE ME.

Stay away from this company. They say one thing and then change their mind to steal money. First message - 15 days cancellation notice. I give over a month - now it's 90 days and they plan to keep charging me for 3 more months. Avoid at all costs. Billing with them is terrible as well. Communication is awful. You need a zoom training for every little thing because everyone needs a job. Software truly is the worst. Go with a competitor - I left after one month of use and regret spending even one day with them!
